Invoicing in the Netherlands — What Businesses Typically Include
The information below is a general overview of common invoicing practice in the Netherlands. It is not legal or tax advice — for guidance specific to your business, consult an accountant or refer to the Belastingdienst directly at belastingdienst.nl.
BTW (VAT) in the Netherlands
The Netherlands uses the BTW (belasting over de toegevoegde waarde) system, which is the Dutch equivalent of VAT. The standard BTW rate is 21%. A reduced rate of 9% applies to essential goods and services including food, books, medicines, and certain cultural services. Zero-rated BTW applies to exports and intra-EU supplies. Businesses with taxable activities must register for BTW with the Belastingdienst (Dutch tax authority). There is no registration threshold in the Netherlands — all businesses performing taxable supplies must register, though small businesses may qualify for the kleineondernemersregeling (KOR) scheme if annual turnover is below EUR 20,000.
KVK Registration and BTW Number
All businesses operating in the Netherlands must register with the Kamer van Koophandel (KVK) — the Dutch Chamber of Commerce — and receive a KVK number. This is mandatory regardless of business size or structure. Your BTW identification number (BTW-id) must appear on all invoices. For sole traders (eenmanszaak), a separate BTW number is issued that differs from your BSN (citizen service number) for privacy reasons. Including both your KVK number and BTW-id on invoices is standard professional practice in the Netherlands.
What a Dutch Invoice Must Include
Dutch tax law specifies that a BTW invoice must contain: your business name and address, your BTW identification number, the customer's name and address, a unique sequential invoice number, the invoice date, a description of the goods or services supplied, the quantity and unit price, the BTW rate and amount, the total amount including BTW, and the applicable BTW rate for each line item if multiple rates apply. For invoices under EUR 100, a simplified invoice with fewer requirements is permitted.
ZZP and Freelance Invoicing
The Netherlands has one of the largest freelance (ZZP — zelfstandige zonder personeel) populations in Europe. ZZP'ers must issue invoices that meet full BTW requirements and should include their KVK and BTW numbers on every invoice. Many ZZP'ers also invoice clients in other EU member states — for B2B cross-border services within the EU, the reverse charge mechanism (verlegging) typically applies, meaning you issue a zero-BTW invoice and note the reverse charge on the document. BooInvoice's multi-currency support makes it straightforward to invoice in EUR for Dutch and EU clients and in other currencies for clients outside the EU.

Questions from Dutch Users
Everything you need to know about using BooInvoice as a Dutch freelancer, ZZP'er, or small business
Can I add BTW to my Dutch invoices?
Yes. BooInvoice has a flexible tax field where you enter your own BTW rate. The standard Dutch BTW rate is 21%, with a reduced rate of 9% for certain goods and services. Enter the rate that applies to your transaction and the invoice displays the BTW amount and totals accordingly.
What should a Dutch invoice include?
A valid Dutch BTW invoice must include your business name and address, your BTW identification number, a unique invoice number, the invoice date, your customer's name and address, a description of the goods or services, the unit price, the BTW rate and amount, and the total including BTW. Including your KVK number is also standard practice.
Is BooInvoice free for Dutch businesses?
Yes — completely free. You can create unlimited invoices, add your KVK and BTW numbers, upload your logo, and download professional PDFs without paying anything.
Can I use the reverse charge for EU clients?
For B2B services supplied to VAT-registered customers in other EU countries, the reverse charge mechanism (verlegging) typically applies. Issue a zero-BTW invoice, include your customer's EU VAT number, and note 'BTW verlegd' (reverse charge) on the invoice. Your accountant can confirm whether this applies to your specific situation.
Can I invoice in EUR and other currencies?
Yes. BooInvoice supports EUR alongside GBP, USD, CHF, SEK, and many other currencies — useful for Dutch businesses billing clients across Europe and internationally.
